Doing More Than Your Title? You’re Not Alone

For administrative professionals working in government and nonprofit environments, the expectations tied to your title often tell only part of the story. Many professionals in roles such as administrative coordinator or office manager navigate far more than originally outlined, like juggling cross-functional projects, managing internal operations, mentoring colleagues, and stepping in where organizational gaps exist.

This phenomenon, known as scope creep, is increasingly common. And while it often reflects capability and trust, it can also raise concerns around workload, compensation, and career progression.

Understanding the Root Cause

In mission-driven environments with limited resources and lean teams, admins often become the glue holding operations together. When roles are eliminated, departments are restructured, or new programs are introduced without a clear owner, administrative professionals typically step up–sometimes without formal direction or recognition.

The nature of an administrative role invites flexibility; but without a well-defined project scope or functional boundaries, that flexibility can lead to blurred expectations. And once new responsibilities become part of the day-to-day, it isn’t easy to walk them back, especially if leadership is unaware of how your role has evolved.

The Risks of an Undefined Role

While it may feel rewarding to be known as someone who can handle anything, you shouldn’t ignore the long-term effects of scope creep. Without a shared understanding of your responsibilities, you may find it harder to prioritize work, measure performance effectively, or advocate for commensurate compensation and professional development opportunities.

Unclear role definitions can also impact team dynamics and workflows. When expectations are inconsistent across departments, it can create friction or lead to duplicated efforts, especially in environments where structure is already stretched thin.

That’s why documenting your contributions is so important. Keeping a record of new responsibilities, cross-functional work, and expanded duties not only supports your case during performance reviews, but also reinforces your value across the organization. It’s a professional habit that supports both clarity and advocacy.

Using Scope Creep as a Catalyst for Career Growth

Although scope creep can feel frustrating, it can also signal that your career is ready to advance. If your responsibilities resemble those of a project manager, chief of staff, or department lead, your current title may no longer reflect your actual role.

This is where strategic reflection becomes key.

  • Have you moved beyond task execution and into organizational planning?

  • Are you leading initiatives that extend across departments?

  • Are you serving as the primary liaison for vendors, partners, or executive leadership?

Leveraging tools like compensation benchmarking and career mapping through resources such as the ASAP State of the Profession Report can help you evaluate whether your current role aligns with industry standards and whether it's time to formally discuss a promotion, title change, or even a new career path within the organization.

You’re Not Alone and Your Work Matters

Administrative professionals are often the quiet force behind operational success. You adapt quickly, think strategically, and step in when needed most. That level of responsibility deserves visibility as well as an appropriate title and compensation structure that reflect your contributions.

As the profession continues to evolve, the path forward includes stronger role definitions, clearer performance expectations, and the recognition you’ve earned. Scope creep may have brought you here—but with the right tools, you can shape what comes next.
