Building AI Assistants for EAs

Learn how to build custom AI assistants for executive support. Create tools in your voice and your executive’s using ChatGPT, Copilot, and Gemini.

What's Included?

AI assistants are one of the most powerful tools available to executive assistants right now, yet most EAs have never built one. This course changes that.

Across three on-demand sessions and one live workshop, you’ll go from understanding what custom GPTs, Copilot Agents, and Gemini Gems actually are, to building one yourself – personalized to your exec’s voice and style.

Along the way, we’ll deep dive into real EA use cases and case studies to give you inspiration and ideas for what you can achieve. You’ll leave with a working AI assistant, a framework for deciding what to build next, and a mindset ready for the agentic AI era that’s already here.

Who Will Benefit?

This course is designed for executive assistants and executive support professionals who are comfortable using AI tools but have never built a custom AI assistant – or have built a few but feel they’re only scratching the surface. If you’re ready to move beyond prompting and start creating reuseable tools that work specifically for you and your exec, this is your next step.

Level of Difficulty/Prerequisites:

This course is designed for EAs with some existing AI experience. You should be comfortable using a tool like ChatGPT, Copilot, or Gemini before joining. No technical background is required. To follow along with the build sessions, you’ll need a paid version of ChatGPT or Copilot (free version of Gemini is OK). If you’re on an Enterprise plan, you’ll need to confirm that custom AI assistants (aka Copilot Agents, ChatGPT Custom GPTs, Gemini Gems) are enabled by your IT team in advance.

Course Schedule

Session 1: AI Assistants Explained: What They Are and How to Build One

Before you build, you need to know what you’re building – and why it matters. This session breaks down what custom AI assistants are, how they differ across ChatGPT, Copilot, and Gemini, and why they represent a genuine step-change for how EAs work. You’ll also get a first look at the use cases that matter most for executive support.

In this session, you will learn how to:

  • Explain what custom AI assistants are and how they differ from standard AI chatbots
  • Recognize the types of tasks and workflows that are best suited to an AI assistant
  • Understand how to build them using the MUTT model
  • Use a decision tree framework to evaluate your own ideas for AI assistants to spot strong candidates

Bonus Resource: AI Assistants 101 and AI Assistant Decision Tree

The best way to know what to build is to see what other EAs like you have already built. This session takes a deep dive into real EA use cases and case studies, with demos showing exactly how custom AI assistants perform in an executive support context. You’ll also pick up pro tips on what makes the difference between an assistant that’s useful and one that’s genuinely powerful. Using the decision tree from Session 1, you’ll see the framework applied to real scenarios – so you leave with a clear picture of what’s possible and ideas for what to build.

In this session, you will learn how to:

  • Identify the AI assistant use cases most relevant to executive support roles
  • Draw inspiration from real EA case studies to generate your own assistant ideas
  • Apply pro tips to build, test, and refine an assistant that goes beyond the basics
  • Recognize what separates a good AI assistant from a genuinely powerful one

Bonus Resource: The EA AI Assistant Use Case Bank

This is where you build. In this session, you’ll create custom AI assistants trained to write in both your voice and your exec’s – two of the most practical and immediately useful tools an EA can have in their arsenal. The session is structured with intentional pause points, giving you time to gather what you need, reflect on your exec’s communication style, and build at your own pace. You’ll finish with two working assistants and a process you can repeat for any future build.

In this session, you will learn how to:

  • Gather and analyze writing samples to identify your and your exec’s unique communication style
  • Use AI to turn those samples into structured writing guides
  • Feed those guides into your AI assistant to create personalized tools
  • Apply a repeatable build process you can use for any AI assistant you create in future

Thursday, May 21, 2026, 1:00PM-2:15PM Eastern Time

In this live session, we bring everything together. Drawing on real challenges submitted by you in our private Circle space, we’ll work through two live assistant builds from scratch – using the decision tree, the build process, and the pro tips from the previous sessions to solve genuine executive support problems in real time. We’ll also look at where to go next with your growing assistant ecosystem, before closing with an eye on the bigger picture: what agentic AI means for EAs, and why everything you’ve built in this course has already started preparing you for it.

In this session, you will learn how to:

  • Apply the full assistant-building framework to new, real-world EA challenges
  • Think strategically about building a suite of AI assistants, not just a single tool
  • Understand what agentic AI is and how it differs from the assistants you’ve built
  • Recognize how building AI assistants develops the mindset needed for the agentic era ahead
